The Executive Assistant is pivotal in providing high-level administrative support, firstly to the Chief Executive Officer, as needed to ensure the seamless execution of daily operations. He/she acts as a representative for the CEO across the company and maintains relationships, streamlines duties and builds efficiencies in work processes.The Executive Assistant will handle sensitive information, coordinate meetings and events, and oversee travel arrangements and expense management, acting as a trusted partner to the CEO and their Executive Committee members.
Support CEO
• First point of contact for the CEO, proactively managing upcoming needs and anticipating on developments in his schedule or the company
• Travel - booking flights and hotels, all associated activities, researching travel options, designing itineraries, coordinating with agencies scheduling trips
• Calendar management – working across global time zones
• Organizing national and international video conferences, audio calls and internal/external meetings; coordinating multiple parties
• Expense management
• Confidential document handling
• Coordinates and monitors flow of documents to be signed
Support ExCo:
Provides support to Leiden-based ExCo members (CFO, CECO, CPO, COO, CBO) in;
- Organization of meetings (i.e. team meetings or large groups with external guests) including catering
- Signing of documents
- Travel
- Organization of quarterly “Meet the CxO” sessions
- Responsible for managing info@pharming.com mailbox and responses
- Back-up of facility office manager, increasing continuity
Knowledge:
- Education: Bachelor or Masters' in Executive Office Management, Business Administration or other related fields.
- High level of skill/competency in IT - MS Office programs
- Basic corporate governance related knowledge/good understanding of the statutory role and functioning of C-level of (preferably: listed) companies
- Fluent in Dutch/English (verbal and written)
Experience:
- Min. 5 years relevant working experience as PA/EA supporting C-level in an international company
- Highly organized and the ability to manage a demanding administrative workload.
