The Role:
The Executive Assistant provides high‑level governance, administrative, and strategic support to the Leiden‑based Executive Committee (ExCo). This role ensures excellence in corporate governance processes while delivering exceptional executive support and overseeing the smooth daily operations of the Leiden office.
Operating with a high degree of autonomy, discretion, and professionalism, the Senior Executive Assistant acts as a trusted partner to senior leadership, enabling effective decision‑making, seamless coordination, and operational continuity across the organisation.
1. Corporate Governance & Board Administration
- Lead and coordinate group-level corporate governance processes, ensuring all policies, procedures, and controls are consistently implemented and up to date.
- Manage, monitor, and file all mandatory governance documentation, including:
- SOx-related uploads and recurring filings for Legal & ComplianceMinutes and required materials for ExCo and Board
- meetingsPowers of Attorney, including Chamber of Commerce filings
- Annual reports and 403 statements for Dutch subsidiaries (in alignment with Finance)
- Governance documentation for international subsidiaries (in alignment with Legal)
- Management of the corporate and secretariat mailbox
Oversee end‑to‑end planning and execution of shareholder meetings:
- Logistics, site arrangements, catering, and vendor management
- Primary liaison for Investor Relations and the notary
- On‑site support and follow‑up actions, filings, and documentation coordination
2. Executive Support to ExCo Members (Leiden)
- Provide high‑level executive assistance, handling sensitive matters and acting as a central communication point for internal and external stakeholders.
- Manage complex, dynamic calendars across time zones and coordinate senior-level meetings.
- Arrange global travel itineraries, logistics, and expense processes.
- Prepare meeting materials, presentations, agendas, and executive briefings.
- Uphold strict confidentiality and exercise sound judgment in all interactions.
3. Office Management – Leiden Offices
- Ensure a well‑run, professional, and efficient office environment, acting as the primary operational hub for the Leiden offices.
- Manage vendors, contracts, office supplies, and equipment.
- Oversee building and facility-related matters, including security and access management.
- Coordinate onboarding logistics for new employees (parking, access cards, etc.).
- Act as the point of contact for all office‑related inquiries from staff.
4. Communication & Cross‑Functional Coordination
- Facilitate clear and effective communication across leadership teams and departments.
- Prioritize and respond to incoming correspondence, calls, and requests with professionalism.
- Represent executives internally and externally with diplomacy and tact.
- Collaborate with HR, Finance, IT, Legal, Facilities, and other internal stakeholders to resolve operational needs and maintain organizational effectiveness.
