Overview

 

Pharming is seeking to hire an Executive Administrator to report to and serve as the primary support to the CEO, managing complex administrative functions, strategic communications, and operational coordination.  Responsibilities will include but not limited to complex calendar management, expense reporting, travel arrangement, meeting preparation, and event management. This role requires a discreet, diplomatic individual with excellent communication skills, and analytical problem-solving capabilities. In addition, this individual must have outstanding organizational and prioritization skills, and the flexibility to adapt to changing priorities and urgent requests. Will provide day-to-day support to the Chief Commercial Officer and Chief Medical Officer, and on an ad-hoc basis, to senior level employees. This position is hybrid – must be able to report 2 to 3 days to the Warren, NJ office but be available for urgent matters, when necessary, outside of business hours.

 

 

Key Responsibilities

 

The Executive Administrator will be responsible for a wide variety of matters in support of Pharming’s growth as we increase the number of both pipeline and marketed products. 

 

Core functions include:

 

  • Provide general administrative support for the day-to-day activities of the CEO including meeting management, travel and associated travel planning arrangements, document preparation, handling confidential correspondence and communications, and ad-hoc reports.
  • Responsible for managing events from conception through completion ensuring deadlines and budgets are adhered to; coordinate details, including location, travel, communications, contract negotiations, and menu selection. Partner with internal stakeholders and external vendors to ensure a high standard of execution.
  • Execute all administrative functions in accordance with FDA regulations, GxP guidelines, and company SOPs, maintaining document control procedures with CFR part 11 for electronic records.
  • Must be able to anticipate executive level needs and take initiative to address or offer solutions to meet them.
  • Participate in office administrative cross-functional related projects.
  • Provide support and guidance for board members and international visitors while in the Warren office.
  • Provide general administrative support for the day-to-day activities of the Chief Commercial Officer and Chief Medical Officer.
  • Provide support to senior level employees on an ad-hoc basis.

Minimum Qualifications 

 

  • 8+ years’ experience in an Executive Administrative role supporting C-level executives in a corporate environment. Pharmaceutical/Biotech industry experienced is a plus.
  • Bachelor’s Degree preferred or equivalent work experience.
  • Excellent verbal and written communication skills.

 

Preferred Qualifications

 

  • Experience in complex calendar management.
  • Advanced working experience with Microsoft Word/Excel/PowerPoint, including table creation, mail merges, and formatting.
  • Proficient with video/virtual conferencing platforms and coordination.
  • Expertise in general office procedures (e.g. filing, correspondence, scheduling, expenses, etc.)
  • Ability to be diplomatic and keep the highest level of confidentiality.
  • Must be able to operate autonomously and escalate issues when required.
  • Demonstrates exceptional composure and professionalism when managing competing priorities in fast-paced environments.
  • Basic understanding of biotechnology industry, terminology, FDA regulatory environment preferred.

 

 

Travel Requirements

 

If applicable, up to 10% travel time may be required for the position, domestic and/or international.

 

 

 

Salary Range

 

Pharming takes into consideration a combination of candidate’s work experience, training, and education, as well as the scope of the role, complexity, and external market and internal value when determining a salary level.

 

The base salary range for this job is from $98,000.00 TO $125,000.00 per year.
